Earlier this month, the Information Intelligence Group (IIG) announced the general availability (GA) of EMC Document Sciences xPression 4.5 SP1.

 

This new release further empowers organizations to develop and execute an enterprise-wide customer communications strategy. As with previous versions of the software, xPression 4.5 SP1 simplifies the creation and distribution of highly effective communications, enabling organizations to engage more closely with customers through timely, accurate, and personally relevant multi-channel communications, while reducing operating costs.

  1. From the Support by Product pages on the EMC Online Support site, log into the xPression Download Center, or access it directly from https://emc.subscribenet.com.

Virtually all organizations engage in some form of proactive and/or reactive customer communications. In general, the larger and more complex the organization, the greater the volume, diversity, and necessity of their communications. Customer communications management (CCM) solutions enable organizations to streamline the assembly of relevant content and create unique documents for each individual recipient. Common examples include statements, bills, policies, and correspondence that deliver critical information.

 

In many organizations, customer communications systems have evolved in a largely haphazard manner, usually driven by the needs of application silos or resulting from mergers and acquisitions. The unfortunate outcome has been the deployment of numerous incompatible and disparate systems with a high total cost of ownership (TCO). Madison Advisors, an independent analyst firm that specializes in offering guidance for a range of content delivery strategies, particularly those addressing enterprise output technologies and customer communications, recently examined the customer communications management solutions market. According to the firm, the CCM market “extends from initial communications strategies and planning to document creation, delivery, and response management. It covers collection and sorting of customer data from various sources, including business transactions and demographic information. CCM incorporates the management and delivery of personalized content through one or more channels.”

 

In the fifth edition of its “Customer Communications Solutions Market Study,” Madison Advisors reviewed offerings from 12 CCM vendors, including EMC Document Sciences. The study focused on each vendor’s ability to address four key emerging trends: Multi-Channel Delivery, Cloud Technology, Data Analytics, and Social Media.

Understanding the ROI of Customer Communications

I’ll be traveling to Vienna shortly for the Momentum conference and am very excited to give customers
new options for designing multi-lingual, multi-channel documents, all from within Microsoft Word. 

 

xPresso for Word 4.5 will be a great fit for European customers that want to very quickly and easily
create content in multiple languages to quickly respond to their customers in their language and channel
of choice.

 

xPresso for Word 4.5 will be generally available in Q1 2013 and will have some great new features to
speed document creation, including:

  • Copy & paste with all static & variable content as well as rules
  • Search & replace static content with variables
  • Native support for XML data to allow rapid loop and rule creation
  • Quick Picks, which are built-in business rules that get reused throughout the document for things like language or brand
  • Reusable content that is seen WYSIWYG inside the design client & can be reused across documents

 

Here’s a quick view of some of the cool new ease-of-use features in xPresso for Word 4.5.  It’s really
almost a totally new design client and one that business users will find very intuitive and will significantly
streamline the process of designing documents:

xPresso for Word 4.5 also makes it really easy to design content to send via multiple channels so that
you can quickly respond to customers in their preferred channel.  xPresso for Word allows you to create
a single document that outputs email, print and SMS by allowing easy designation of content sections
for a particular channel.  It also has very cool test and preview functionality built in so that you can see it
WYSIWYG, all in the design client.  Here is a view of the phone screen emulator within the test and
preview function:

Most successful organizations realize that improving customer communications can dramatically boost customer loyalty, help ensure brand and regulatory compliance, and rein in a range of rising costs from postage to IT maintenance. Unfortunately, the customer communications management (CCM) efforts of most organizations are seriously handicapped—by piecemeal, incomplete, outdated, and redundant CCM technologies in the service of multiple in-house solutions and business processes.

 

This white paper explores the benefits of implementing a CCM platform, on-premise or in hybrid cloud environments, identifies the necessary capabilities of such a platform, and supplies organizations with a frame of reference when considering CCM platform options.

xPression 4.2 went GA at the end of last week and included among other things xDesign Online Editor, the market’s first true browser-only thin client editor for interactive customer communications.  In a world where customers expect relevant and timely service via their mobile, email or tablet devices, xDesign Online Editor provides truly agile customer communications.

 

For companies that have large populations of customer service reps, it’s no longer necessary to spend IT time installing and maintaining desktop software when you can have instant time to value with an intuitive, browser-based UI.  Since customer service teams need to quickly edit documents and return them to customers in real time, why waste time loading a thick client app?  Instead, leverage a tool that’s intuitive and easy to use with minimal training. The power and responsiveness of a true thin client is obvious, particularly for the interactive correspondence use case which requires users to quickly enter and exit an editing environment.

 

With xPression 4.2, the xDesign Online Editor provides a powerful yet natural interface for quickly editing correspondence. It includes all the features necessary to add and format letter content, whether through free text or optional content – as shown in the screen shot below – optional yellow markers show the insert points for optional content selections and the drop downs show style selections available based on the underlying template.

xDesign Online Editor also supports a controlled editing process inside form fields, where the native xDesign template restricts the format of content entered into form fields and honors Microsoft Word’s features to restrict editing to only certain portions of the document.  Spell check and pre-distribution approval processes are also supported to ensure corporate standards are met while achieving the highest degree of professionalism.

xDesign’s native template capabilities give users all of the capabilities needed to design effective, dynamic communications that improve customer relationships.  The illustration below shows an optimally designed benefits enrollment letter that improves readability and can reduce follow-on calls.

With customer’s requesting near-instant responses in their channel of choice, we often see interactive communications that must be tightly integrated with existing systems.  Seamless integration with existing CRM or other customer-service facing systems is also supported with xDesign Online Editor. Correspondence editing can thus be controlled through the xResponse front end UI or your own UI using the Web Services APIs for xDesign Online Editor.  Methods are available to generate correspondence work items, submit for approval, distribute and more.

IBC employs nearly 9,500 people, annually processes more than 32 million claims, and responds to more than 6 million customer inquiries. The company serves all areas of the health care market by offering quality products and services such as managed care, traditional indemnity, Medicare, and Medicaid.

 

IBC’s HMO and PPO businesses offer more than 600 benefits programs, each with its own customized 150- to 175-page benefits handbook. Prior to implementing xPression, publishing new benefits program information was an extremely time-consuming, cumbersome, and expensive process.
